Create Dynamic Folders to Curate Certain Content for Users

Question

We have a lot of content that is exposed through Digital Hive, which is great for our Authors and Power Users, but for most Consumers, this can be overwhelming. Custom Fields are being used, and one of the fields that is populated on the content is whether the content is certified or not. Is it possible to only show 'certified' content to our Consumer user population? 

Answer

Digital Hive does provide the ability to only display certain types of content, based on various criteria, through the use of Dynamic Folders. The criteria can be search terms, where the content resides, and/or Custom Field values (that have been configured for categorization). Once a Dynamic Folder is defined, any new content that is added, or existing content that is modified, that matches the Dynamic Folder criteria will automatically appear within the folder contents. This is what makes the folder Dynamic. Any content that matches the criteria will be displayed and when content is added, modified, or deleted, if it matches the criteria, the number of objects within that folder will also change.

Content isn't actually moved to a Dynamic Folder. Instead, the defined query will be executed when a user accesses the folder to create a dynamic list of content, that matches the folder definition.

To create a Dynamic Folder to only show 'certified' content based on a Custom Field value:
  1. Within Digital Hive, open the Explore Content view by clicking on the user avatar and selecting 
  2. Click on the  icon and select  which will open the New dynamic folder window
  3. Provide a name for the Dynamic Folder in the 'What do you want to call it?' prompt. For this example, Certified Content will be used
  4. In the 'Where do you want to save it?' prompt, select the directory where the Dynamic Folder will be created. It is recommended, for easier management, that the Dynamic Folders be stored in a common folder, but this is optional
  5. Now the criteria that will drive which content is displayed needs to be defined. For this example, since the content criteria is driven from a Custom Field value, the 'Search query' field will remain blank
  6. If the intent is to limit the content to a particular connector, or branch of a content hierarchy, then modify the 'Search inside...' option. In this case, the desire is to show all certified content, so the default value will remain Everything
  7. In the Filters prompt, click inside the prompt dialog (where it says No filters applied) to expand the list of search facets. Browse to the desired Custom Field facet and value that is used to indicate whether content is certified

  8. Click anywhere outside the facet list window to close it. The final Dynamic Folder definition would look something similar to this:

  9. Press SAVE
  10. Once the Dynamic Folder is saved, navigating to the 'Folder Structures' folder will show a new entry called Certified Content

To create a Dynamic Folder that displays all the top-ranked reports related to 'sales':
  1. Within Digital Hive, open the Explore Content view by clicking on the user avatar and selecting 
  2. Click on the  icon and select  which will open the New dynamic folder window
  3. Provide a name for the Dynamic Folder in the 'What do you want to call it?' prompt. For this example, Best Sales Reports will be used
  4. In the 'Where do you want to save it?' prompt, select the directory where the Dynamic Folder will be created. It is recommended, for easier management, that the Dynamic Folders be stored in a common folder, but this is optional
  5. Now the criteria that will drive which content is displayed needs to be defined. For this example, since the content criteria is driven from search values, enter sales into the 'Search query' field 
  6. If the intent is to limit the content to a particular connector, or branch of a content hierarchy, then modify the 'Search inside...' option. In this case, the desire is to show all certified content, so the default value will remain Everything
  7. In the Filters prompt, click inside the prompt dialog (where it says No filters applied) to expand the list of search facets. Browse to the Stars facet and select the 4 star + value

  8. Click anywhere outside the facet list window to close it. The final Dynamic Folder definition would look something similar to this:

  9. Press SAVE

To use the Dynamic Folder as part of the Hive design (Catalog page):
  1. Within Digital Hive, launch the desired Hive
  2. Open the Hive Designer by clicking on the Hive Launcher  icon selecting Open Designer
  3. Using the Page: menu item, press the drop down arrow and select New Page...
  4. Select the Catalog type page
  5. Press DONE
  6. Within the 'New page' properties panel on the right, provide a name and path for the page
  7. Scroll down to the Collections section and click the  to modify the default Shared Files option
  8. Browse to the location of the Dynamic Folder
  9. Press DONE

To modify the criteria of a Dynamic Folder after it's been created:
  1. Within Digital Hive, open the Explore Content view by clicking on the user avatar and selecting 
  2. Navigate to the location of the Dynamic Folder
  3. Hover over the Dynamic Folder tile and click the  icon
  4. Select the  option
  5. Make the desired changes to the Dynamic Folder definition
  6. Press SAVE
It is possible to include multiple Custom Field values in conjunction with search terms to dramatically focus the content being returned in a Dynamic Folder.
