What do the Digital Hive Capabilities Control in the Product?

Digital Hive provides the ability to create new roles that contain various capabilities. What do each of the capabilities control?

Answer

Here is a listing of the Digital Hive capabilities. Please note that these are subject to change in future releases, but this list should remain consistent with the latest release in market.

View Content - Without this capability set, members of this role will not be able to see any content (Hives, Pages, reports, etc) once they are logged into Digital Hive. Upon logging in users without this capability granted will receive a similar message. 
  

This capability should always be assigned to every role unless access to Digital Hive needs to be temporarily disabled.

Execute Artifact - This capability determines whether members of the role can execute reports from the content systems. Without this capability, users will not be able to run reports and will receive the following message if they try to launch a report.  Unable to show this content right now

Explore Content - Roles that have this capability granted will have access to the Explore Content interface accessible from the user's avatar. This grants users access to view and modify the Digital Hive folder structure. 

Manage Own Credentials -  This capability is no longer necessary and was removed in the 2024.1 release.

Manage Hive Page - With this capability granted, users will be able to author Hives, but will not have access to the Control Center to add or delete new Hives. In order to author a Hive, a role with this capability, or a specific user, will need to have edit permissions on the Hive. This capability will not allow authors to modify the Hive properties, just the pages and their contents.
This role is required for users that will be responsible for authoring Hives. 

Manage Hive - Roles with this capability will be able to see the Manage Digital Hive avatar action which grants access to the Control Center. Within the Control Center, users with this capability will be able to see the Hives section and then view and/or set properties on the Hives to which they have been granted permissions. If a user with this capability has edit privileges on a Hive, this will allow the user to manage the Hive properties.

Manage AppearanceRoles with this capability will be able to see the Manage Digital Hive avatar action which grants access to the Control Center. Within the Control Center, users with this capability will have access to the Customizations area, except the Miscellaneous settings, so that Colors, Themes, and the Login Screen can be managed.

Manage ArtifactThis capability is no longer necessary and was removed in the 2024.1 release.

Filesystem AdminRoles with this capability will be able to set permissions on the Filesystem connector content (when that system is not using impersonation).

Manage Localization -  This capability is no longer necessary and was removed in the 2024.1 release. Only users that are part of the Admin role will be able to manage the global localization settings for the application.

Manage Custom Fields - Roles with this capability will be able to see the Manage Digital Hive avatar action which grants access to the Control Center. Within the Control Center, users can define and manage the Custom Fields. This capability was renamed from Manage Metadata Catalog in the 2024.1 release.

Manage Authorization - Roles with this capability will be able to see the Manage Digital Hive avatar action which grants access to the Control Center. Within the Control Center, users can view the Security page, which allows them to manage Users and Roles.

Manage Content Systems - Roles with this capability will be able to see the Manage Digital Hive avatar action which grants access to the Control Center. Within the Control Center, users can view the Connectors and IQ pages, which allows them to manage the third party system connections, as well as the training schedule for the Machine Learning based recommendations.

Manage License - Roles with this capability will be able to see the Manage Digital Hive avatar action which grants access to the Control Center. Within the Control Center, users will have the ability to view the License page. 

Provision Data Source ModelsThis capability is no longer necessary and was removed in the 2024.1 release.

Set Custom Field Values - Roles with this capability will be able to edit the metadata values (custom fields) for artifacts that they have permissions to see.

Manage Content Thumbnails Roles with this capability will be able to set the custom thumbnails for artifacts that they have permissions to see.
