Add Metadata Tags to Content

Question

There is a lot of content accessible through Digital Hive, so users typically search for relevant content. Is it possible to add metadata tags to content so that the content is searchable by specific key words?

Answer

Digital Hive provides a way to tag content with specific terminology to expand search results and to make content easier to locate. There are two different types of metadata tags that can be added to content.

1- Global tags: These are tags that are defined at the system level, which are searchable by all users, that provides a consistent set of tags and removes human error when tagging content. For example, if users were allowed to create global tags, a tag for 'Sales' could be created by one user, another user may tag content using 'Revenue', and another could tag content as 'Sales'. The net result is a proliferation of tags and a very inconsistent experience for users. 

When global tags are defined, users would only be able to use 'Sales' for all Sales related content. 

2- Personal tags: These are tags that any user can apply to content and that are only available to that user. For example, there is a global tag 'Sales' applied to content, but a user typically refers to sales as revenue, so that user could add a personal tag called 'Revenue' that makes this content accessible for them through search. Any other user searching for Revenue would not return this content, unless they has also used a Personal tag called 'Revenue' for that content.

Defining Global tags 

  1. Log into Digital Hive as an administrator
  2. Click on the user avatar button and select Manage Digital Hive
  3. Select the Customizations section in the Control Center
  4. Within the Tagging Dictionary section, enter a new tag value in the dialog box

  5. Press ADD TAG TO DICTIONARY to commit it to the list
  6. Repeat steps 4 & 5 until all required tags have been created
For consistency sake it is recommended to create similar Tags and Interests, or at least have all Interests as tags

Setting a Global tag on Content

Now that Global tags have been created, they can be applied to content. 
  1. Locate the desired object card

  2. Hover over the card and press the  icon
  3. Select the  option
  4. Within the properties page, hover over the Tags section to expose the  icon

  5. Click on the  icon to display the available Global tags
  6. Select the required tags (Finance and Executive were used in this example)

  7. Press the  icon to commit the changes
  8. There will now be two tags visible in the properties and this content will be returned when searching for Finance or Executive

Setting a Private tag on content

In the following section, a Private tag will be added to the same content that was used in the setting a Global tag section.
  1. Locate the desired object card

  2. Hover over the card and press the  icon
  3. Select the  option
  4. Within the properties page, hover over the Tags section to expose the  icon

  5. Click on the  icon
  6. Locate the Tags just for you section

  7. In the + Add a tag dialog box, type in the desired Private tag (Revenue in this example)

  8. Press Enter on the keyboard to apply the tag
  9. Press the  icon to commit the changes
  10. In addition to the two Global tags that were previously created, there will now be a Private tag 'Revenue' 
The UI provides a slight visual distinction between Global and Private tags for easy identification in the future.
